New Operational & Physical Procedures for Maintaining A Safe And Healthy Workplace

As we begin to look ahead to getting back to work and reclaiming some normalcy to our daily lives, OneCoWork is committed to providing the safest possible workspace for our members and employees.

OneCoWork is among the leaders of premium workspace providers in Barcelona. It is because of our significant investment in technology and design during the construction phase of our spaces that we are in the best possible position to deliver a safe and healthy workspace for our customers. While social distancing will remain a critical component of our lives in the months ahead, that does not mean that office spaces cannot be adapted accordingly, nor that all the productivity of the office should be given up. Outside of your homes, nowhere else in the city will you find a safer or more comfortable place to continue growing your business. That is our promise to you.

The following guideline is meant to serve as an overview of the steps we are taking to protect our members during this time. It is not a comprehensive list of all the actions we are taking to ensure your safety, nor is it a dense procedural handbook. New Operational Procedures and Guidelines

Enhanced Cleaning Procedures

We have taken the necessary steps to maintain and improve our cleaning and hygiene standards as we all return to work. This includes, but is not limited to:

Kitchens

We have removed all shared plates, glassware and utensils from all kitchen areas. Kitchens will still be in use; however, we encourage all members to bring their own materials from home, wash them thoroughly after use and bring them home each day. Any food-related items left in the space will be discarded overnight.

We have also removed all amenities and shared condiments. These have been replaced with single-use packets of salt, pepper, sugar, and tea.

Seating Plans & Acrylic Partitions

We have reduced the seating capacity in the common areas and meeting rooms in all locations to ensure safe social distancing. This involves the removal of some desks and furniture, as well as signage for the available seating and clearly marked signs showcasing maximum occupancy allowed throughout our spaces.

We are also adding new acrylic partitions in our reception, hot desk and personal desk areas that separate workstations and provide an additional barrier to keep airborne particles from spreading.

Air Quality & Ventilation

onecowork marina port vellThe modern HVAC systems in our locations are personalized for each private office, meeting room and common area workspace. This allows us to pump fresh air into our buildings and ensure proper ventilation at all times. We have also cleaned all filters and airways and will continue to do so at an accelerated schedule.

Reception Areas, Deliveries & Visitors

onecowork reception areaThe reception areas of each building will now feature fixed acrylic partitions. The iPads for automated check-in of visitors have been removed and all visitors will be required to wait at reception for their member to come and greet them upon arrival.

Deliveries will continue uninterrupted and all parcels will be sprayed and wiped down prior to storage until the member can retrieve their package. This service will only be available Monday-Friday during normal working hours, 09:00-18:00h.

Meeting Rooms

Meeting room seating will be clearly marked to ensure social distancing measures are enforced. We have added a buffer time between meeting bookings so each room will be thoroughly cleaned and sanitized between each use.

Printing Stations

Print stations are used by all members. To maintain the cleanliness of these “high touch” spaces, wipe dispensers, hand sanitizer, and hygiene signage will be placed at every print station. It will also be a focal point for the cleaning staff to sanitize regularly.

Elevators & Stairwells

Elevators will be limited to 2 people at a time and recommended only for riding up – with specific areas marked for occupation within the elevator. When leaving the building, take the stairs down whenever possible. In the stairways, practice social distancing and allow members to pass on the platforms before proceeding up the next flight.

Phone booths will be closed until further notice. Upon re-opening, all phone booths will be clearly marked with usage instructions and maintained with the highest possible level of cleaning and sanitization between uses. There will be a notification system in place to allow cleaning teams to clean phone-booths between each use. 

Staff Guidelines

Each staff member of OneCoWork is currently undergoing training to ensure the abilities to maintain a safe and healthy workplace for our members. This training is fluid and ongoing and will be adapted as we learn new information for fighting the pandemic. We are also reducing the number of OneCoWork staff permitted in each space simultaneously to reduce chances of exposure and ensure operational continuity.

In case of infection

In the case that a member or employee of OneCoWork falls ill or suspects they have had exposure to the coronavirus, we will notify the community immediately and close the building for deep cleaning. We expect a thorough cleaning and de-sanitization of each space to last approximately 24-48 hours before re-opening, but we will follow all guidelines recommended by the ECDC and Spanish guidelines.

Communication & Instructions 

All common areas of OneCoWork workspaces will be clearly marked with occupancy limits and instructions for best use. This is a dynamic situation and we will continue to communicate all changes to our member community as quickly and efficiently as possible. Furthermore, we cannot do this job alone. We must rely on our members to abide by these efforts and use common sense and best practices in health and safety while inside our buildings.
